Interim Reviews

Our Quick How-To Tutorial




Perspective allows both the reviewer and reviewee to add interim notes to a performance review at any point throughout the year.

These reviews can be anything from the minutes of a mid-year review meeting or maybe notes about a conversation you had in the hall!

Just so you know, both the reviewer and the reviewee can add Interim Reviews, but this function is only available when the Review is active. For more information on activating a review, please see the Running a Review Guide.

Quick Steps

  1. Click Performance Mgmt > See All Reviews.
  2. Select the Reviewee from the Active section to open the review.
  3. When the review is open, select the Interim Reviews tab.
  4. Click Add New Interim Review to complete the review.
  5. Click Save & Add to Review to save your review.

Once a review has been made active, go into the review by clicking on it from the Performance Management Dashboard. (To get to your PM Dashboard, click Perf. Mgmt on the main toolbar, and then click See All Reviews.

Once inside the review, you will see a separate tab for Interim Reviews within the left-hand menu.

If you have not yet entered any Interim Reviews, this section will look like the screenshot above. 

Click on either of the New Interim Review buttons to add a new Interim Review. A text window will appear.

In this window, you can select the date of the Interim Review you wish to record and give the meeting a title. Then enter your meeting notes into the text box and click Save & Add to Review to save your review. If you wish to cancel the process, click the Cancel button instead.  

Please Note: You do not need to submit the review for feedback at this stage. You only submit the review as a whole for feedback at the beginning and end of the cycle. To continue adding interim reviews, the review must remain in the Active stage.

Once saved, the latest review will show in the list of Interim Reviews. The one with the most recent review date will be displayed at the top of the screen.

Saved_Interim_Review.PNGThe review date and title will be displayed in the header of the relevant review. Each review will show which user added it, when it was last updated, and by whom. There is no maximum number of Interim Reviews that can be added. As you keep adding reviews, the latest review will always be displayed at the top of the page. 

Please Note: You do not need to click Submit for Feedback once you have added an interim review. Your comments are stored as long as you clicked on Save & Add to Review.

On an active review, the Submit for Feedback option is used to send the final review to your reviewee at the end of the academic year.

 

Accessing Interim Reviews from the PM dashboard

If you are the reviewer, there is a simple way to access Interim Reviews from the Performance Management Dashboard. To get to your PM Dashboard, click Perf. Mgmt on the main toolbar, and then click See All Reviews.

You will see an Interim Review button at the top of the PM dashboard.

Clicking on this button will open a pop-up window where you can select the reviewee you wish to add a new Interim Review for. To choose a reviewee, select the relevant reviewee name from the drop-down, then click Add Interim Review to be taken directly to the Interim Review section of the relevant reviewee's PM review. 

Please Note: This button is only available if the relevant review is in an Active state. If no valid reviews exist, the button will be greyed out.

To access a specific reviewee's Interim Reviews, click on the Interim Review link in their review listing in the Active section of the PM Dashboard.

Accessing Interim Reviews from the Homepage

If you are the reviewee, you can access your Interim Reviews from the Perspective Homepage. To do this, go to the My Review tab on the Homepage. If your PM review is active, there will be a clickable link under the header "Your PDP is now live & active". Clicking on Interim Reviews from here will take you directly to the Interim Reviews tab within your PM review.

Please Note: This link will only show if the relevant review is in an Active state. 

 

Editing an Interim Review

Both the reviewer and the reviewee can edit any existing Interim Review. However, the reviewee will only have access to this once the review is active.

To edit an Interim Review, click Edit on the relevant Interim Review, then amend the main text, the date or meeting title within the text editor window, then click Save & Update.

Once saved, the edited Interim Review will display a line that says "Last updated by [user name] (date)".

Deleting an Interim Review

Both the reviewer and the reviewee can delete existing Interim Reviews.

To do so click the Delete button on the relevant interim review. A confirmation pop-up window will appear.Delete_review.PNG

To delete the review, click Yes, Delete Interim Review. Alternatively, you can cancel the delete process by clicking Cancel. Once saved, the deleted Interim Review will no longer be shown in the list of Interim Reviews for that PM Review. 

Interim Reviews in Reports

You can view Interim Reports as part of any generated PM report. 

Interim reviews will appear on their own page(s) below the PDP Agreement section and above the End of Year statements. Interim reviews in the report will show who added or last edited them and on what dates. If there are no Interim Reviews, this section will not appear in the reports.

Please Note: If an Interim Review is edited or deleted, this change will only be reflected when a new report is generated.
