How do I access Documents from my Local Authority? 

Users can access documents from the Local Authority by going to LA > LA Documents. Only users with the correct permissions can do this. This help guide contains more information on permissions: User Permissions.

If your LA has shared a confidential file with you specifically, the file will be located within the Confidential Files folder.

The document my LA has sent is inaccurate or incorrect.

Your Local Authority is responsible for all the files in the document pool. If there are any errors, please reach out to the LA.

I am unable to view a confidential file our Local Authority has sent.

A confidential file is a file that the Local Authority has sent via Perspective Lite. It can only be accessed by the individual user it was sent to or any user with the assigned role it was shared with.

If your LA sends you a confidential file, it will be visible in the My Confidential Files folder within your Services > Documents area.

My LA has sent a file to my role, but I can't access it.

If your LA has sent a file to a specific role (for example, Finance Manager) and you are the Finance Manager, your SLT must ensure that you have been assigned that role via Admin > Manage User Roles. Once you are set as the appropriate role, you will have access to all previously shared files for that role.

How do I respond to a visit report?

Only the headteacher can respond to a record of visit. They can do this by clicking on Visits and then Read and Respond. If the visit is still in the Draft stage, your LA hasn't submitted it to you yet, so you'd need to wait until that occurs.

How do I access the attachment on the report?

To access an attachment with the visit report, you must hover over the paperclip symbol. This will then bring up the name of the attachment for you to click.

I can see a visit record. However, I can’t download or respond to it.

The visit report is only visible when logged in as the headteacher or a user with the relevant permissions. Depending on your permission level, you may see an audit of visits but not the full report. You may need to ask for additional permissions from your headteacher.

I was able to view a visit record a few days ago, but now I can’t respond to it.

You have ten working days from when a Focus visit is submitted to give feedback on the record. After this, it will become finalised automatically.

How do I send a file to my Local Authority?

Users with the correct permissions can send files to their Local Authority by going to Documents > Send Files > Standalone Files.

If the LA has issued a file request, then you can use the File Request tab to submit a file as part of that collection.

I have sent the wrong file to my Local Authority.

If you believe you have uploaded the wrong document or you wish to change a document you sent, click the Recall option next to it. Please note that once the LA or Organisation has received the file, you cannot recall it.
