Performance Review Stages

The Performance Management Dashboard shows you information regarding the status of
performance reviews within your account. It also acts as your main portal for accessing the performance reviews that you are responsible for.

There are five ‘states’ that a review can be in at any time. These are explained below.

The numbers next to each of the stages below may vary, depenbding on how many reviews/PDPs are in that stage.

Start

The first stage of the process. A review can either be 'Not Scheduled' or 'Scheduled' in this stage.

'Not Scheduled' will list all staff in your system that have a reviewer but no review yet. 'Scheduled' will list all reviews where a meeting date has been set.

If you are a reviewer and wish to start a review, please see this guide.

Draft

The review has been started but isn't yet Active. Whilst it's in 'Draft', it isn't accessible to the reviewee.

The reviewer can finalise the notes of the review meeting and then either submit the review for feedback or skip this stage and activate it straight away. To start either of these things, click the reviewee Name, the Edit icon or the Submit button.

If the reviewee marks the review as Accurate, it will be automatically moved into Active. If the reviewee marks the review as Inaccurate, it will be displayed within a Not Agreed section of the Draft stage, ready for the reviewer to make the relevant changes and re-submit it, or activate it.

Active

This stage holds all reviews that have been activated and are now available for both the reviewer and reviewee to update throughout the year.

As a reviewer, you can update the document by clicking the reviewee Name or the Edit icon. If you need to move the review back into Draft for any reason, click Reset.

Closing

The Closing stage signifies that the whole review process is coming to an end. A review will sit in this stage once you have sent it to the reviewee for their end of year feedback.

It can be one of two states, 'Pending Feedback' or 'Inaccurate'.

'Pending Feedback' signifies that the reviewee has not yet responded to the closing statements. If you need to recall the review for any reason, click the Recall button.

'Inaccurate' signifies that the reviewee has responded to the document but has marked it as inaccurate. The reviewer is then responsible for continuing to close the review or making any necessary changes, then re-submitting to the reviewee..

Closed

Any reviews in this stage are classed as finished. In order to become 'closed', the document has been reviewed and marked as accurate by the reviewee or the reviewer has bypassed feedback and force-closed the review. This signifies that the cycle is complete and next year's cycle can begin.

If you need to reopen the review for any reason, click the Reset button.
