Archiving Users
When staff leave your establishment, it’s important to keep your data accurate while retaining historical records. Perspective’s archiving feature does exactly that:

Archived users are removed from your day-to-day lists.

Their data remains safely stored in your account.
-
You can reactivate them at any time if needed.
This keeps your system tidy, compliant, and accurate—without losing valuable history.
Quick Steps
- Navigate to Settings (Cog Icon)
- Select Manage Users
- Put a tick in the box next to all applicable names
- Click Archive Selected.

To archive a user, navigate to Settings (cog icon) and click Manage Users.

To archive an individual staff member, click Archive next to their name.

To archive multiple users, tick the boxes beside their names, then select Archive Selected.
When a user is archived:

They lose access to Perspective.
-
They no longer appear in modules like Performance Management and Observations.

Their records remain in the system and can be viewed by adjusting search filters to “Include archived users.”
If your Local Authority uses Broadcast to distribute documents and the archived staff member has an assigned role, you’ll see a pop-up:

You can reassign their role to another user immediately.

Or choose to leave it unassigned.
Important: Any confidential files sent by the LA directly to that user will be deleted when they are archived.
Reactivating Users
If you have archived a user by mistake or need to reinstate a previously archived user, you can reactivate them by following the steps below.

Navigate to Settings (cog icon).

Select Manage Users.

Click View Archived Users.
-
Click Reactivate next to the user.
Reactivating a user:

Restores their login access to Perspective.
-
Places them back into relevant areas like Performance Management and Planning.
Archiving and reactivating users ensures your Perspective account stays clean and up to date—without losing valuable records or history.
